3. How We Share Your Information
With other users
Certain information is visible to other users of the platform as part of normal platform operation:
- Artist profile information (name, band name, photo, bio, genre) is visible to venue hosts from the moment a booking request is submitted
- Venue listing information is publicly visible to all users
- Contact details (email and phone number) are shared between an artist and a venue host only after payment has been completed for a confirmed booking (see Section 4)
With service providers
We share information with trusted third-party service providers who assist us in operating the platform:
- Stripe: payment processing and deposit management. Stripe processes payment information directly and maintains its own privacy policy at stripe.com/privacy
- Hosting and infrastructure providers: cloud services used to store and serve platform data
- Analytics providers: aggregated, non-personally identifiable usage data to improve the platform
We do not authorize service providers to use your personal information for their own marketing purposes.
For legal reasons
We may disclose your information if required to do so by law, court order, or governmental authority, or when we believe in good faith that disclosure is necessary to protect the rights, property, or safety of GigNVenue, our users, or the public.
Business transfers
In the event of a merger, acquisition, or sale of all or substantially all of GigNVenue's assets, your information may be transferred as part of that transaction. We will notify users of any such change in ownership or control of personal information.
4. Contact Detail Release Policy
GigNVenue operates a deliberate, staged approach to contact detail sharing that protects both artists and venue hosts throughout the booking process.
- From the moment a booking request is received, venue hosts can see an artist's full name, profile photo, and band name, and can access the artist's full profile
- An artist's personal contact details — email address and phone number — are shared with the venue host only after payment for a confirmed booking has been successfully completed via Stripe
- Similarly, a venue host's direct contact details are shared with the artist only after payment has been completed
This policy exists to protect personal information until both parties have made a financial commitment to the booking, and to ensure that the GigNVenue platform remains the secure channel for all pre-payment communications.
5. Data Storage and Security
Your data is stored on secure servers operated by GigNVenue and our infrastructure partners. We implement reasonable administrative, technical, and physical safeguards designed to protect your personal information against unauthorized access, alteration, disclosure, or destruction.
Payment card data is never stored on GigNVenue servers. All payment processing is handled by Stripe, which is PCI DSS compliant.
No method of transmission over the internet or method of electronic storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security.
6. Data Retention
We retain your personal information for as long as your account is active or as needed to provide you with the platform services. Specifically:
- Account data: retained for the life of your account. You may request deletion at any time (see Section 7)
- Booking history: retained for a minimum of three years after a booking's event date, to support dispute resolution and financial record-keeping
- Messages: retained for the life of the associated booking or account, whichever is longer
- Payment records: retained as required by applicable financial regulations, typically seven years
Upon account deletion, we will remove or anonymize your personal information within 90 days, except where retention is required by law or legitimate business necessity.
